• The school principal sends a request to fill a vacancy at his school through the HR System.
• HR receives the request and approves/ disapproves based on HR policies.
• Once approved, the system automatically selects 5 candidates from the database based on the set criteria.
• Selected candidates receive an in-app notification message informing them of the interview date, time and venue.
• Once interviews have concluded and scoring has taken place the successful candidate will be appointed, and their profile will be marked as employed on the HR System.
• All the above is done in adhering to strict HR policies and procedures.

• Registration on the HR system is strictly meant for all qualified unemployed educators that seek employment at schools under the KZN Department of Education as educators. Other employment opportunities within the KZN Department of Education are advertised through various media platforms e.g. newspapers and various government websites, gazettes etc. and normal application processes apply.

There are currently 2 ways of registering to the database. Through the website and through the Mobile APP.

1. Web Portal Registration Process:
   • Visit kzneducation.gov.za
   • Click Recruitment > KZN Qualified Educators > Educator Registration Portal
   • Fill in the form inputting your personal information, academic information and subjects that you wish to teach.
   • It’s important to note that when you use a PC to do the registration you should have your certificates and academic records already scanned in softcopy. This is important since when you’re required to upload your certificates you’ll browse for them in your pc. When using your smartphone to register through the website there is no need to scan your documents. This is because the smartphone requires the applicant to take a picture of the certificate/s using the phone’s camera. Upon successful registration a pop up message displays that registration was successful.

To register using the mobile app you firstly need to download the app to your smart device (smartphone). To download the mobile app, go to your play-store and type “KZN qualified educators”. Tap install, your app will then download & install. Open the KZN qualified educators’ app then select “Job applicant” from the drop down menu (Select User Type). Tap “register” to fill in the registration form. Please note that you should have your certified copies of your certificates and academic records handy. This will help when you need to upload the certificates they will be close-by to access.   Complete the form by filling in your personal information, academic information and subjects you wish to teach. On successful completion the app auto logs you on to your account.

• Ensure that you update your device’s operating system, this includes Android and Apple devices. Usually you go to Device Settings > System > Software Updates.
• Ensure you update the KZN Qualified Educators app. To update the app, you should tap Play Store and type “KZN qualified educators”. If your app isn’t updated, you’ll see the option “update”. Tap update. This will update your app. If the App is already updated, you’ll see the “open” button. This means your app is updated.
• Ensure that you have good network coverage from your service provider. Recommended that you have 4G, H+, LTE or even 5G nothing lower.
• Ensure that you have adequate storage on your device i.e. smartphone. If Storage is too limited it can affect the uploading of the documents since you have to take pictures of certificate (since a copy of picture is stored locally to the smart device).

• If a user has registered and wishes to check if registration was successful, a user can log on to his/her app and tap the profile menu. If you successfully see your details populated that would translate in a successful registration.  If you do not see your details (blank profile) after successfully logging on to the app and tapping profile menu, it means there was something wrong during registration. You need to contact Support to assist you. They will delete your profile and you will have to re-register.
• If a user has never registered but has been in the “old database”, that user must just register as explained in question 3.

This error message comes up when there is a profile that is linked to the ID number the user is inputting during registration already on the database. It therefore prevents a second profile to be created with the same ID number.

There are two things a user can do.

• A user can log on to the app using his ID number and password
• Call support to help verify if the details on the existing profile matches the user’s profile. If the details match. The user needs to log on using his ID number and password.
  • Sometimes it happens that a user’s profile appears to have blank details. Support will help in deleting that profile and you will have to re-register.

• The above error message usually comes up when a user has forgotten his password. You can tap ‘forgot password’ once you’ve opened the app. Select Job Applicant/Principal from the drop down menu that appears. Enter your ID Number. Tap Continue. A message “Please check your registered email id for OTP” pops up. This suggests that you should access the mailbox of the email you registered on the app during registration. You will either find the OTP (One Time Pin) under Inbox or under Spam inbox in your mailbox. 

• Go to your mailbox and open the email sent to you by the system with the OTP, memorize that OTP and switch over to the App to input the OTP onto the designated field. Tap “Verify OTP”. Enter your new password on the ‘new password’ and ‘confirm password’ fields. Tap Submit. A message ‘Password updated successfully” will be displayed. You can then log in using your ID number and the newly changed password.

• Login to your profile
• Click Edit Academics
  Untick the section where you are having trouble uploading (It could be I have a Diploma or I have a Degree) 
• Click Save

• Click Edit Academics
• Tick the section you want to upload your qualification to (It could be I have a Diploma or I have a Degree)
• Specify your Institution
• Select your Year of Completion
• Upload Certificate
• Upload Academic Record
• Click Save
